Privacy Policy — Neediff Display

We built Neediff Display to help companies communicate better with their teams — not to harvest data. This policy explains plainly what information we handle, why we need it, and how we keep it safe. If anything here is unclear, email us at connect@needif.com and we'll explain it in plain English.

1. Who We Are

Neediff Display is a product by Neediff, based in Hyderabad, India. We build corporate TV signage software that helps offices display birthdays, work anniversaries, festivals, client visits, announcements, and more on their TV screens — automatically and in real time.

2. What Information We Collect

2.1 Account Information

When a company signs up for Neediff Display, we create an admin account. We store:

Company name and a unique workspace identifier (slug)
Admin user's full name and email address
Hashed password (we never store passwords in plain text)
Account creation date and last login timestamp

2.2 Employee Content Data

Company admins upload information about their employees to power the TV displays. This includes:

Employee names, designations, and departments
Date of birth (used to display birthday greetings)
Date of joining (used to display work anniversary milestones)
Employee photos (optional, uploaded by the company admin)

This data belongs entirely to the company. We process it only to display it on your office screens as you've configured. We do not analyse it, profile individuals, or share it with anyone.

2.3 Content You Create

Admins can create and upload various types of display content:

Festival announcements, client visit notices, event banners
Video files and images for banner displays
Blog posts and company news
AI-generated marketing banners (text prompts and generated images)

All uploaded media is stored securely on Cloudflare R2 cloud storage, scoped to your company's workspace.

2.4 TV Device Information

Our Android TV app generates a unique device ID for each screen when it's first set up. We store:

Device ID (a randomly generated identifier — not linked to the TV's hardware ID)
Device name and location label (set by the admin, e.g. "Reception TV")
Last heartbeat timestamp (used to detect if a screen goes offline)
Pairing status and screen group assignment

The TV app does not collect data from people who view the screens. It is purely a display device.

2.5 Payment Information

Subscription payments are processed through Razorpay. We do not store your card details, UPI IDs, or bank account information on our servers. Razorpay handles all payment processing under their own privacy policy. We store only the transaction outcome (success/failure), plan details, and amount paid.

2.6 Usage and Technical Logs

We maintain basic server logs for security and debugging purposes, including API request timestamps and error logs. We also log AI banner generation activity (industry selected, tokens used) to manage platform usage fairly. These logs are not used for advertising or profiling.

3. How We Use Your Information

To run the service — displaying your content on TV screens in real time via our backend and Android TV app
To send automated email notifications — trial start confirmations, payment receipts, subscription renewal reminders, and expiry notices
To manage your subscription — tracking trial period, payment status, and plan type
To detect screen issues — our offline monitor checks device heartbeats and alerts you if a screen goes down
To generate AI banners — prompts you provide are sent to Groq's API (Llama model) to generate marketing copy. We do not use your prompts to train any models
To improve the product — understanding general usage patterns (not individual behaviour) to decide what features to build next

4. Third-Party Services

We use a small number of trusted third-party services to run Neediff Display:

Cloudflare R2 Media storage for uploaded images and videos
Razorpay Payment processing for subscriptions
Groq / Llama AI banner text generation (your prompts are sent to Groq's API)
Zoho Mail Transactional email delivery (welcome emails, reminders, receipts)
Google Play Distribution of our Android TV app

We do not sell your data to any third party. We do not use advertising networks or tracking pixels.

5. The Android TV App

Our TV app is distributed on the Google Play Store under the package name com.neediff.display. Here's specifically what it does and doesn't do:

The app fetches display content from our servers using your company's workspace slug
It generates a random device ID on first launch — this is not linked to the device's IMEI, serial number, or Google account
It sends a heartbeat ping every 5 minutes so admins can see if screens are online
It does not access the camera, microphone, contacts, location, or any personal data from the device
It does not display advertisements
It does not collect data from people who view the screen
The app requires an Internet connection to fetch content — it does not function offline

The app requests INTERNET permission to communicate with our servers, and storage permissions for video caching (if enabled by your company admin). No other permissions are required or used.

6. Data Storage and Security

Each company's data is stored in a separate, isolated database on our servers (database-per-tenant architecture). One company cannot access another company's data.

We use JWT tokens with 8-hour expiry for dashboard authentication. Passwords are hashed using bcrypt with 10 rounds — we have no way to recover your plain-text password.

Media files are stored on Cloudflare R2 with access scoped to your workspace. All API communication happens over HTTPS.

7. Data Retention

We retain your data for as long as your account is active. If you stop using Neediff Display and your subscription lapses, your data remains on our servers for a reasonable period so you can reactivate without losing your setup. If you want your data deleted permanently, contact us at connect@needif.com and we'll process it within 30 days.

8. Your Rights

You have the right to:

Access the personal data we hold about your account
Correct any inaccurate information
Request deletion of your account and associated data
Export employee data you've uploaded through the dashboard

To exercise any of these rights, email connect@needif.com. We don't make this complicated.

9. Children's Privacy

Neediff Display is a business tool designed for use by companies and their administrators. It is not directed at children under 13. We do not knowingly collect personal information from children.

10. Changes to This Policy

If we make material changes to this policy, we'll send an email to the admin account on file and update the "Last updated" date at the top of this page. Continuing to use the service after a change means you accept the updated policy.
